Who this notice covers

This notice explains how DineLumen handles information from restaurant owners, managers and team members who visit the website, request information, create an account or use a restaurant workspace. Restaurants also use DineLumen to process reservation information about their guests.

Information we collect

For restaurant applications we collect the applicant’s name, business email, required contact phone, restaurant name, legal company name, country, company tax or registration number, restaurant street address, public website or listing, ownership declaration and password in securely hashed form. We also keep company verification results, application status and private review notes. Approved restaurant accounts additionally include workspace activity and subscription information. Reservation records may contain a guest's name, contact details, visit date and time, party size, table, source, status and notes supplied to the restaurant.

Why we use it

We use application information to verify the registered company and restaurant ownership, identify repeated applications and decide whether to grant access. We use account information to provide, secure, support and bill for the service, communicate with account holders, prevent misuse and meet legal obligations. Guest reservation information is processed to provide the booking service to the restaurant. We do not sell personal information.

Restaurant responsibilities

For guest data entered into a restaurant workspace, the restaurant decides why and how the information is used and is normally the data controller. DineLumen acts as its service provider or processor. Restaurants must provide their guests with appropriate privacy information and use the data lawfully.

Service providers and transfers

We use hosting and email-delivery providers to operate the website and deliver requests. They process information on our behalf under their applicable data-protection commitments. Some providers may process data outside the European Economic Area using recognised safeguards.

Company verification

Where supported, we check the company country and VAT number through the European Commission’s VIES service and retain its validity result and any registered company name and address it returns. Other company numbers and unavailable checks are reviewed using official business records. Restaurant ownership is reviewed separately. Company-check information is used to assess the application; it does not grant access automatically.

Owner community

Community posts and replies are visible to other approved restaurant owners with your restaurant name, owner name and posting time. We store likes to show their totals and your own selections. Company numbers and application review details are not displayed in the community. The DineLumen platform owner can moderate posts and replies. Avoid sharing personal guest or staff information in discussions.

Hospitality Profiles

Any hospitality worker can create a free profile using their name, email and password. A new profile begins without verified employment. A restaurant owner can invite a worker by email to confirm employment, and the work record becomes verified only after the invited person accepts it. Worker profiles may contain a professional headline, biography, city, country, roles, skills, languages, availability, verified restaurant experience, restaurant references and the worker’s response or dispute status. A worker chooses whether approved restaurant owners can discover the profile. Profile email addresses and passwords are not shown in the owner directory.

References are visible to the worker and approved restaurant owners when the profile is discoverable. We do not publish anonymous references or a public star score. Workers can respond, mark a reference as disputed, correct their own profile and ask DineLumen to review, restrict or delete information by emailing info@dinelumen.com. Restaurant owners must provide relevant, factual professional information and must not include sensitive personal information.

For Team Choice Awards, verified workers can see the names and positions of coworkers whose verified employment overlaps the voting period. Each vote is stored privately. Restaurant owners and coworkers can see category totals and winners only after the owner closes the voting round; they cannot see who cast an individual vote. Voting records are used to run the award and prevent duplicate or self-voting.

Subscription payments

Stripe handles subscription payments and billing details. For sales using Managed Payments, Link, a Stripe service, also handles transaction support and sends billing receipts and subscription emails. Billing contact information, addresses and payment details are processed according to the Stripe Privacy Policy and Link Privacy Policy. DineLumen stores customer and subscription references and subscription status to manage restaurant access. Full card numbers are entered directly with Stripe or Link and are not stored by DineLumen.

Retention and security

Information is kept only as long as reasonably necessary to provide the service, manage the business relationship, meet legal obligations and resolve disputes. We use access controls, isolated restaurant workspaces, encrypted connections and password hashing to protect account and reservation information.

Your rights

Depending on applicable law, you may ask to access, correct, erase, restrict, or receive a copy of your information, and you may object to certain processing or withdraw consent where consent is the basis used.

Website analytics

We use Vercel Web Analytics on our public marketing pages to understand visitor counts, pages viewed, referrers, countries and device types. Our tracking removes URL parameters and fragments. We do not add this tracking to private restaurant workspaces or guest reservation management pages.
